Overview
Yildirim Bilgi Merkezi is an education organization with multiple branches, instructors, and student cohorts. Before this engagement, their institutional presence was basic, and the operational side — enrollment, scheduling, performance tracking, branch management, and financial administration — was handled through a patchwork of manual processes and disconnected tools.
The challenge was not simply to build a website, but to design an operational system that reflects how the organization actually works: hierarchical branch structures, role-based access for administrators, teachers, and students, integrated measurement and evaluation workflows, and a structured accounting system that tracks income and expenses down to individual installments.
What we built
yilven designed and developed a unified platform that serves both public-facing and internal operational needs:
The institutional layer handles the organization's public presence, providing information about branches, programs, and enrollment. The operations layer manages the core workflows: student-teacher assignments, branch-level administration, scheduling, and assessment processes.
The system is built around role-based access control with seven distinct user types — including Manager, Operator, Accountant, and Scanner roles — ensuring that each user sees exactly the tools and data relevant to their function. Measurement and evaluation workflows are integrated directly into the platform, replacing spreadsheet-based tracking with structured, auditable processes.
The accounting module brings full financial visibility to the organization. Income and expense records support installment-based payment plans, each tracked with statuses (Paid, Pending, Overdue). A background scheduler runs automatically at startup and periodically marks overdue installments, eliminating the need for manual follow-up. Every change to an accounting plan is recorded in a full audit history, giving management a complete, time-stamped record of financial decisions.
The Scanner role was introduced to support QR code reader devices and kiosk applications on-site. Scanner accounts have access only to attendance-related endpoints, ensuring field devices operate with a minimal, secure permission footprint.
